Terms of service
The agreement between you and BeanworX when you use it — kept short, and in plain English.
The agreement
These terms are between you and BeanworX, which provides BeanworX. By creating an account, or by using BeanworX on behalf of a business or a practice, you agree to them — and confirm you may bind that business or practice to them.
What BeanworX is, and is not
BeanworX is software for keeping books, running payroll and preparing returns. It is not an accountant, a tax practitioner or a financial adviser. Figures, suggestions and answers it produces — including anything produced by its AI — are for a person to check. Nothing reaches the books until somebody approves it, and the business remains responsible for its own records, returns and payments to SARS.
Your account
- Keep your sign-in to yourself and switch on two-factor sign-in where you can.
- You are responsible for what is done under your account and for who you give access to a set of books.
- Tell us straight away at hello@beanworx.com if you think someone else has got in.
Your data stays yours
The books, documents and payroll records you put into BeanworX belong to the business they are about. We use them only to provide the service, as our privacy notice sets out. You can download them whenever you like, including after you decide to leave.
Paying for BeanworX
- Plans are billed in advance, monthly or annually, in rand and including VAT where it applies.
- You can cancel at any time; the plan runs to the end of the period already paid for, and is not refunded part-way.
- We give at least 30 days' notice by email before a price changes.
- If a payment fails and is not put right, a business's books become read-only — never deleted — until it is.
Using it fairly
Do not use BeanworX to break the law, to send messages people have not agreed to receive, to upload anything malicious, or to try to reach books or systems that are not yours.
Keeping it running
We work to keep BeanworX available and your data safe, and back it up every night. Now and then it will be unavailable for maintenance, which we schedule outside business hours wherever we can. Services it relies on — banks, SARS, email and payment providers — are outside our control.
Liability
To the extent the law allows, we are not liable for indirect or consequential loss, or for penalties that follow from figures nobody checked. Our total liability in any twelve months is limited to what you paid us in that period. Nothing here limits rights you have under the Consumer Protection Act where it applies.
Leaving
You can close your account at any time from Settings. Download what you need first, then ask us to delete the business's books and we will. We may suspend an account that breaks these terms, and will tell you why.
The law that applies
These terms are governed by the law of South Africa, and its courts deal with any dispute. When they change in a way that matters, we will tell you by email before the change takes effect.
